@Vaida Plankytė @Dieuwertje Bloemen it turns out I won't be able to make it to the doc group meeting on Friday, August 16th. Sorry! My brothers and I are getting our kids together at a water park :ocean: (and other stuff, spending a long weekend together).
I also won't be there, I'm also planning a day out, though I'm going to Ypres (to the Flanders Field museum among others :nerd: ). So, a bit less "fun" perhaps
Right, right, that was my memory, that you wouldn't be there. Sounds fun enough. :grinning:
@Vaida Plankytė so! What do you think? Should we push the meeting out? I know we're going for a third Friday thing so I guess we could even cancel.
hey hey! thanks for the email ping Phil! hm, I'd say we could either move it to the week after, just so we can review all the things happening in zulip & next steps, rather than having a two month gap-- but i'm also fine with skipping :sunglasses: i haven't had a chance to do my homework yet (setting up docs locally and documenting the ease of the process) if that says anything...
oop forgot the @Philip Durbin
I'm ok with skipping, honestly. It's summer time :sunglasses: :beach_umbrella:
@Dieuwertje Bloemen what do you think?
Yeah, that's fine by my too.
cool, i've deleted the event :sunglasses: Should we post in the google group too?
Thanks for deleting the event. I updated the website.
No need to email the google group because we never announced the meeting. :grinning: Sometimes procrastination can pay off!
Should we announce next week's meeting? I'm happy to help draft something.
Actually, having a bit more on the agenda would be nice too.
yikes, yeah a agenda is a bit too empty  . Maybe an agenda item is to create a plan of attack for the next couple of months or something. Or an order in which we'll work on what section/part/function of the documentation?
@Dieuwertje Bloemen great idea! Please go ahead and add it!
I moved it to the top. Thanks.
I'm tempted to remove the agenda item about #docs > Bug in docs: opening a search result anchor in a new tab
It feels rather minor in light of the plan of attack.
yeah, makes sense. Or move it as a point under "any other business" to indicate it's not quite so important ;)
yes please, it'd be great if you could let people know! thanks for reminding us
for the agenda, it seems we've had quite a bit of activity in this new docs channel, so reviewing it and "grouping" any related tasks into a plan of attack seems like a good thing to do too.
That's not a bad idea. We could review the Zulip activity during the meeting.
I'd like to avoid running the group, if possible. I already have my hands full with the containerization working group. Could I have more of a support role in this one?
yes, no problem at all! i can lead the charge! your expertise in all things dataverse and support in
sphynx would be very valued :sunglasses:
Fantastic. Do you want help drafting an announcement? You're also welcome to go for it! Lead the charge! :tada:
i'll draft something up and run it by y'all, so it's simpler for you-- would be nice to frame this as a "start of academic year docs inaugural meeting" perhaps?
Sound good. By the way, our website says "third Friday of the month at 2pm UTC" but the Google Calendar invite is set to United Kingdom Time. Can we change it to UTC to match the website? Here in the US we'll be "falling forward" pretty soon and I'd like to see when the meeting shifts.
And yeah, I'd say we should consider this to be the inaugural meeting.
We can give a brief origin story if we like. :grinning:

oh, good point! calendars are so finnicky with this. I've changed the event now-- could you confirm it's still in the same place as it's meant to be, for now?
image.png
here's what I've got for the draft! If this looks good to you, I'll post it on the google group.
Hi all,
We invite you to join the inaugural meeting of the Dataverse Documentation Working Group!
We will be meeting at 2pm UTC this Friday on Google Meet, and every third Friday of the month subsequently (we're on the Dataverse calendar). Meeting notes will be documented .
We started off as a sub-group of the UX group, with a focus on providing more contributor guidance. Our first output was the Contributor Guide, after which we agreed that refocusing the group to cover Dataverse documentation more broadly would be valuable!
If you're wanting to bring up any general or specific ideas, suggestions or feedback regarding the documentation, want to participate in the joint effort to improve the rich Dataverse docs, or just want to listen in, join us this Friday!
The calendar looks good! 10am Friday for me and then on Nov 15 it switches to 9am.
The announcement looks great! Ship it! :rocket:
My only minor suggestion would be that you could make "Dataverse calendar" a link to https://calendar.google.com/calendar/embed?src=c_udn4tonm401kgjjre4jl4ja0cs%40group.calendar.google.com&ctz=America%2FNew_York
good point! will do that and move this into prod. :sunglasses:
thank you for the speedy review!
and we are live. i'll make sure to have a think about the agenda topics and remind myself of what we've discussed previously, ahead of the meeting!
Looks great! Thanks, @Vaida Plankytė! ![]()
oh no! i left the meeting before copy-pasting the zoom link :D can you post it in here?
wait, there's a zoom meeting? I'm in a google meeting?!
Please use https://harvard.zoom.us/j/91061519853?pwd=U1lQR1ExMlo3Ty9XUVJIM2ZPNW1mdz09
oh no! confusion! Phil, Philipp and I were in the same google location, but we were having audio issues.
Hi there, I'm so sorry, I would have liked to join you for this first meeting but too busy today. I hope it will be possible next time.
Same here, better luck next time!
Good news! We recorded it!
And here it is: https://harvard.zoom.us/rec/share/UBmb9Mzd_grPPsbX7jik54BGRMOHoskcVUab434u6FJOiyPE-fPN-AQjcWQmhSQ2.KAUPfDyco5S2aPzM
I added the recording to https://www.gdcc.io/working-groups/documentation.html and went ahead and made a doc for the next meeting, Oct 18 (the third Friday of the month).
As promised, I created a new thread to continue the "how to upload and publish" topic: #docs > how to upload and publish
Should we reply on the announcement that the recording is available? Should we put it on DataverseTV? :tv:
@Vaida Plankytė @Dieuwertje Bloemen @Philipp Conzett what do you think?
I don't see a problem with putting it on DataverseTV. I think it's a good reference point to get an idea on what the meetings will be about. If you need any help or if I can do anything, let me know.
oh no, i made so many bad jokes, now for the world to see... /jk! feel free to put it up, i agree with Dieuwertje-- we did some overviewing of previous discussion topics, so it serves as a good summary! :grinning_face_with_smiling_eyes:
we love your jokes :grinning:
it'd be amazing if you could do that Phil-- I assume you have permissions :face_with_monocle:
yep, no problem, maybe after lunch :sandwich:
Fine for me, too. : :grinning_face_with_smiling_eyes: Sorry for the late reply!
Ok, I put the recording on DataverseTV and let folks know about it: https://groups.google.com/g/dataverse-community/c/n-LFF-DAGhE/m/Izu7hjZCBQAJ
Question about the Oct 18 meeting... how do we feel about having it an hour earlier? I have a conflict.
Otherwise, I can skip and catch up on the notes. @Vaida Plankytė @Dieuwertje Bloemen @Philipp Conzett
Works fine for me. :)
Would work out fine for me too.
sounds good to me too!
Thanks, all, I updated the Google Calendar entry and the webpage: https://github.com/gdcc/www.gdcc.io/commit/c45e71b4f4ee2effd21d4ce466e4d5147593a86c
And I sent a note to the google group: https://groups.google.com/g/dataverse-community/c/n-LFF-DAGhE/m/HUyrkKlPAgAJ
Are we really meeting via Google Meet?
I believe we eventually moved to @Philip Durbin 🐉 's Zoom , as google meet was having audio feedback issues. I don't mind either way!
Could you share the Zoom link? @Vaida Plankytė @Philip Durbin 🐉
we're in the google meet this time round! https://meet.google.com/ifs-iqjq-vuv
Ah that link is different to the one from the calendar
thanks for trying to join @Oliver Bertuch ! we wrote up some meeting notes. hopefully audio will work for you next time, if you wish to join!
Yes, @Oliver Bertuch please feel free to ping me if you want to try again on Google Meet whenever.
He's right, in the calendar it's https://meet.google.com/yjm-phxw-deb
At https://www.gdcc.io/working-groups/documentation.html it's https://meet.google.com/ifs-iqjq-vuv
I'm afraid to mess with the calendar. :grimacing:
@Vaida Plankytė can you please take a look? We can update the website to match the calendar if necessary.
Hmm, someone (I'm guessing the people on the #community > RDA 23rd Plenary Meeting – San José, Costa-Rica thread) wrote this in the notes from last week's meeting: "Reschedule next meeting - overlaps with RDA P23 Costa Rica!"
Should we? If we don't reschedule, it'll be at this time: https://time.is/compare/1400_15_Nov_2024_in_UTC
I'm asking because I was about to update the website with the Nov 15th date.
You know what, I was almost done so I went ahead and updated https://www.gdcc.io/working-groups/documentation.html with the Nov 15 date. If you'd like a different date, please say so! :grinning:
So!
Ha! What date and time do you have in mind?
(Just kidding we'll be flying back from RDA on the 15th so it would be the same as scheduling it during the RDA plenary, I guess the week after would be safer)
To be specific are you advocating for https://time.is/compare/1400_22_Nov_2024_in_UTC ?
Would https://time.is/compare/1500_22_Nov_2024_in_UTC work? I have a meeting at 2PM UTC
Sure, that works for me. I'll get to sleep for an extra hour. :grinning:
i have now updated the calendar event, that time the Friday after works well for me too! (do check if the timezone for the event seems to look okay on your sides).
@Vaida Plankytė do you want to try your hand and updating the date at https://github.com/gdcc/www.gdcc.io/blob/main/source/working-groups/documentation.md ?
yes! i have submitted a PR :sunglasses:
oh wow. Arc automatically created a PR folder in my tabs list. neat!
image.png
Arc?
'tis the new browser on the block! though they have recently decided to pivot to building a _second_ browser, all focused on AI-based interactions, so who knows how long it'll still be around... https://arc.net/
Nice. Merged. Thanks! It looks like you're already updating the notes doc. So on the ball. :grinning:
Ah, and you put #community > move dataverse.org to GitHub? on the agenda. Perfect!
first Dataverse commit, hopefully many more to come! heh, thought might as well, as next week will be busy with so much thinking about other things! :grinning_face_with_smiling_eyes:
We have a meeting on Friday, right? Should we send a note to the Google Group? Or just see who shows up?
yes, why not! I can post just now :sunglasses: UTC 15:00, is that right?
Yep! I just checked. Thanks!
coolio! hmm, is it me or has the google meet link changed again (based on what we have on the working group page)...
Oh, right right. Yes, I think it changed. I don't understand Google Meet very well.
Are we going with the old link or the new one?
yeah, i'm not 100% sure when a new link is created! let's go with the new one (i'm seeing https://meet.google.com/yjm-phxw-deb ?) since that's what's on the calendar!
Sure, sounds good. Do you mind updating the agenda and website?
will do first thing tomorrow! :mechanical_arm:
Thanks and thanks for getting the word out! Tell your friends! https://groups.google.com/g/dataverse-community/c/n-LFF-DAGhE/m/XPVg3m8zCQAJ
Hi there,
Finally, with Dimitri, we will travel to come back from our conference and I made mistake with time zone... so we won't be able to attend for the meeting today ... sorry. Before the next session, I will continue to complete the documentation list from installations here : https://docs.google.com/spreadsheets/d/1bfsw7gnHlHerLXuk7YprUT68liHfcaMxs1rFciA-mEo/edit?gid=0#gid=0
@Amélie Fiocca thanks for working on that!
@Amélie Fiocca safe travels & thanks for working on this, looking forward to discussing next time we meet! and figure out what we can learn and incorporate into the Dataverse documentation :sunglasses:
Hei #docs group! On January 17, there will be an event on FAIR Digital Objects, where Dataverse is one of the adoption cases, so I'll probably attend this event and therefore not be able to attend the Documentation WG meeting.
Thanks. That's actually a good reminder to update the docs group webpage :grinning:
Ah, so even though CET is an hour ahead of UTC, the FAIR event is three hours long. Makes sense. Maybe you can give us a summary!
Hello, I'm in vacation from 19 and I understood @Vaida you're in vacation too ?
So the next meeting is for January, right ?
yep, let's skip the december meeting! :sunglasses: i can remove the google calendar event, but someone else might need to update the website
I will be out of the office on January 17 and I think Dimitri too :smiling_face_with_tear:
i can imagine most people will want to be wrapping up for christmas, so it's better to wind down on meetings i think.
oh no! maybe we can find a better time. we can check back in the new year :sunglasses:
Vaida Plankytė said:

that would be great
I'm happy to update the website. See you all in January!
Ok, I added "CANCELED" to the December meeting in Google Calendar.
And I updated our webpage with the January meeting.
I created an agenda for that meeting but please edit at will! I copied over the "for next time" items and linked to some new mockups from @Dieuwertje Bloemen and @Jan Range
We spent the whole last meeting talking about #community > move dataverse.org to GitHub? which was fun and very interesting. The mockups are part of that.
But I also put on the agenda "Let’s co-write How to upload and publish your data on Dataverse!" because that's what we had planned to talk about last time. (I forget if we even have a Zulip thread about that.)
Anyway, I'm trying to say that I don't want to dictate what's on the agenda. Far from it! I'm just trying to be helpful by copying over the "for next time" stuff. Please feel free to rearrange, delete, and add more!
First meeting of the new year tomorrow, right? @Vaida Plankytė @Dieuwertje Bloemen @Philipp Conzett @Dimitri Szabo @Oliver Bertuch
Hi Philip
Happy New Year ! As I previously mentioned, Dimitri and I are out of the office tomorrow. So sorry. We will meet next time ;)
Right, right, thanks.
Should we send out an invite? Is it too late?
ooh this one has snuck up on me! happy new year all! i'll be joining. based on the agenda, we can start by discussing how we wanna approach chatting about the website vs working on the beginner-friendly docs! :sunglasses:
hm, it wouldn't hurt to send an invite, but I've got some last minute Friday stuff to take care of so won't be able to do so before the meeting
No worries, I just dashed off a reminder: https://groups.google.com/g/dataverse-community/c/n-LFF-DAGhE/m/N9x_LldCCwAJ
See you all there!
Unfortunately, the next doc meeting (Feb 21) falls during my kid's school vacation week. We'll be off skiing. :skier: /cc @Vaida Plankytė
@Philip Durbin ☃️ oh that sounds so fun! :snowflake: i remember we were wanting to settle on a hugo theme to use, and you'd be a core part of that conversation. should we still hold the meeting on the 21st, and work on other things? or should we see if the others are available the week before/after so you can join? :snowy_mountain:
also, hmm, i don't seem to have access to the meeting notes-- google gives me an access denied now. I'll send in a request!
Approved!
I'm ok with you folks working on other things. Lots to do in doc land!
I'm also ok with moving it.
The website (hugo theme etc.) doesn't seem to be priority from where I sit.
oh, forgot to ping people on the meeting that's happening today! I know a couple of us are off. I'll ping @Dimitri Szabo @Amélie Fiocca @Oliver Bertuch to see if any of you are able to join today? Of course, the meeting is open to everyone!
oh, i noticed we didn't update the GDCC website about this meeting, my bad. I'll wait for the first 10 minutes, otherwise we can skip this time & I'll spend the time reviewing the Hugo themes Dieuwertje linked to instead :sunglasses:
There's always next month.
@Vaida Plankytė do you need help updating the website?
oh oops, sorry for missing the previous message @Philip Durbin ☀️ ! i only noticed today that the next meeting is this week. i've been ill so won't be able to take part myself & didn't get a chance to ping people about it in advance :sneezing: hope it goes well if it does go ahead! :muscle:
Oh no! I hope you feel better, @Vaida Plankytė!
@Omer M Fahim what do you think? Should we go ahead and have it? This is the webpage we're talking about: https://www.gdcc.io/working-groups/documentation.html
@Dieuwertje Bloemen @Amélie Fiocca @Dimitri Szabo @Philipp Conzett @Oliver Bertuch are you all planning on coming?
Philip Durbin ☀️ said:
Dieuwertje Bloemen Amélie Fiocca Dimitri Szabo Philipp Conzett Oliver Bertuch are you all planning on coming?
Sorry guys, unfortunately, I won't be available this afternoon (CET). :-(
Sorry, I won't be available too... and Dimitri either, he's out of the office
I'm able to join, but also fine with skipping this one if there are not enough people available to join.
@Omer M Fahim what do you think?
@Dieuwertje Bloemen Omer and I are going to meet, at least.
All are welcome to join: https://meet.google.com/yjm-phxw-deb
notes are linked from https://www.gdcc.io/working-groups/documentation.html
my calendar says the next meeting is tomorrow! :sunglasses: I'll be able to join. Should we post on the Google Groups?
Sounds good
oh, I've just noticed that since we meet 2pm UTC, because it's summer time now, it's actually taking place an hour later than usual (the dataverse calendar entry wasn't updated for this, oops!) I wouldn't be able to make 2pm UTC but can make an hour earlier. I wonder if people are up for meeting, and if so, if they're available at 1pm UTC?
@Dieuwertje Bloemen @Amélie Fiocca @Dimitri Szabo @Philip Durbin ☀️ @Philipp Conzett @Oliver Bertuch friendly ping in case you're interested in a docs call today! :sunglasses:
hm, now that I think of it, 18 Apr is Easter Friday in Europe and in the US... I wouldn't be surprised if most people that I tagged are off  It might be best to raincheck, and to maybe see if people are available next week?
Hi Vaida :) I'm sorry, I won't be able to attend today and I will be out of the office 4 next Fridays. My next availabilities are 6 or 27 Jun (at this time).
Hi, Sorry I won't be available either at 1PM UTC :(
no worries! and have a great weekend! :sunflower: :eggs:
Looks like I'll be canceling today's meeting
Hi everyone,
I’ve updated the documentation.md file. Please note that our next meeting is scheduled for Friday, May 16th.
If you have any topics or suggestions you'd like to discuss, feel free to send them my way or add them directly to the Google Doc. Thanks!
Hi @Omer M Fahim , I couldn't edit the google doc, so I'm mentioning it here. I think we should maybe talk about what we wanna get from the community meeting documentation meeting taking place there, as that's getting closer.
Thanks @Dieuwertje Bloemen I made it so everyone has edit rights and added community meeting discussion to our agenda
@Omer M Fahim can you please move the last couple agendas to where the others are? Here.
done! thanks
made the mistake of not updating my calendar after daylight savings kicked in, so accidentally double-booked myself for the docs meeting, oops  I don't have much to contribute but wanted to ask @Philip Durbin 🌧️ if I've missed any recent developments re:dataverse website? I'd love to take a fresh look at our previous notes and the themes were were researching, but if there's been more recent developments then those materials might be outdated by now!
Nope, no updates from me. https://github.com/IQSS/dataverse-pm/issues/349 is the issue we're using to track it. And the main conversation is over at #community > move dataverse.org to GitHub?
Docs meeting is now open :) https://meet.google.com/yjm-phxw-deb
Oh no, I got the time wrong again! Let me see if I can shift another meeting around and join anyway
Hi, I won't be able to attend this friday, is the next meeting in July 25 ?
Not available to attend (again) this week either
Side note : what do you think about switching to rolling minutes so that it's easier to catch up all the meetings and add items for future meetings ?
Me neither.
unless anyone has anything pressing to discuss, I'm leaning more towards cancelling. Let me know by tomorrow please :)
If you do cancel it, please go to the Google Calendar and delete it or prepend it with "CANCELED". I usually do the latter for the container working group.
Speaking of which, here's a PR to add the calendar to the docs wg web page: https://github.com/gdcc/www.gdcc.io/pull/52
I'm fine with cancelling too! though it could be nice to reschedule to next week so as to keep up the momentum of the community meeting... don't mind either way!
agree with the rolling meeting notes-- we can do that starting this next meeting!
I'm around next week. Up to you guys.
Friday the 27th same time?
2PM UTC? that'd work for me!
I can probably make it. @Omer M Fahim or @Vaida Plankytė do you want to get the word out? Add it to the calendar, update the website, email the google group?
Ill be in the office tomorrow so you can show me how to reschedule the meeting :)
I now have a conflict for the second half of the meeting but I'll try to make it for the first half.
For tomorrow's Documentation Meeting:
https://harvard.zoom.us/j/96538248039?pwd=Bjbb41zTwLUW4bwX9KujlHdQvzvUQ4.1
Password: 677091
joining in in a couple of minutes! feel free to start :sunglasses:
ended up taking the time to port all the meeting notes into the rolling one, so we can refer to things more easily :sunglasses:
image.png
however @Omer M Fahim i tried to move all the old meeting notes into a folder, but i don't think i have permission to move them-- so accidentally created shortcuts. sorry! :joy:
@Vaida Plankytė 🎨 I think @Philip Durbin 🚀 is the owner of that folder at the moment. Any way we can upgrade our permissions Phil?
@Omer M Fahim I just switched you from "Content Manager" to "Manager" (for the whole Shared Drive). Same as me. Can you manage the permissions now?
I can move stuff around now and modify permissions, before I couldnt. Thanks! @Philip Durbin 🚀
Ok, I cleaned up the folder
Awesome. Did you get the email with the link to the recording?
Here is the meeting recording for today: https://drive.google.com/file/d/1wIlck6tD6FB0Grt8i2qbA_Nrm_yAmies/view?usp=drive_link
@Omer M Fahim thanks! When you get a chance, can you please create an agenda for the next meeting? I have a proposed topic I'd like to add.
You got it!
@Omer M Fahim @Philip Durbin 🚀 Is this still the right doc for the next meeting? https://docs.google.com/document/d/1dX8ktajVsRDk-MDF-yHWV0f4vIe8U3DWrSzIerVGlF8/edit?tab=t.0#heading=h.1aunk4nfb9e7
I wanted to point @Ines Schmahl into the right direction... :smiley_cat:
@Oliver Bertuch Yup, thats the one - just realized I had the agenda in another doc, going to update it shortly with this weeks agenda.
Edit: Alright, its up to date with next meetings agenda/link
@Omer M Fahim @Philip Durbin 🚀 the Google Calendar Item still has Google Meet in it. As it seems we replaced it with Zoom, should that be updated? Also, as we agreed to do rolling docs from now on, should we add a link to the notes doc in the event?
Hey @Oliver Bertuch Phil and I discussed this — we kept Google Meet because it's self-sufficient; the meeting can still happen even if the host isn’t present. The main trade-off is that recording is more limited. Might be worth a quick discussion to decide which platform we want to stick with going forward. Also agree that adding the rolling notes doc to the invite makes sense - we'll get the meeting updated.
It would be nice to record the meetings.
2ct:
just made the appropriate updates to the google calendar event
image.png
I added @Philip Durbin 🚀 as an alt host, zoom meeting will allow users to hop on without needing a host.
@Oliver Bertuch coming?
Trying
Thanks again for joining folks, here is todays meeting recording: https://drive.google.com/file/d/1PPZE_sBm-Ky1e1M7Kj8DVi584pUNInBX/view?usp=sharing (also added to the rolling notes doc)
Awesome, can you please add the recording to https://www.gdcc.io/working-groups/documentation.html as well?
