@Sherry Lake The conference will be held next to Kenan Stadium in the Alumni Center ( https://maps.app.goo.gl/cLHVDhkDL9BfHc2r5 ). The Carolina Inn is easily the closest and nicest, but also the most expensive. AC is two blocks from campus, one mile from the conference and much cheaper. The Graduate is maybe two blocks farther west and not much more than the AC but I'm not a fan of West Cameron / West Franklin at night. The rest could be a short bike, bus or Über from the conference. I encourage early reservations to secure the best price.
@Sherry Lake note that Boshamer baseball stadium is immediately south-east of the alumni center, but the team will be away for summer ball.

10th (workshops) through the 13th (hackathon), with the 11th and 12th the main conference days.
@Vaida Plankytė Heath confirms that your submission is in, and that the web application is _configured_ to send e-mail confirmation. We may have to run this by Cvent's support, though.

@Slava Tykhonov @Lubov McKone the in-person requirement for presenters is not set in stone, given the number who are reticent to travel to the United States right now. our event folks are looking in to it.

I recall Dutch SIM cards aren't working in the US, assume European also. But probably there is also special roaming subscription required.
Verizon offers "TravelPass" which costs more but "just happens" when I travel. I'm billed a flat rate per day when I use a tower outside of the U.S.

@Courtney Mumma We're trying to secure some reserved spaces for attendees in the Ram's Deck next to the Alumni Center ( https://maps.app.goo.gl/K62XdnMzqJEWb82bA ) but if your friend lives on or near a bus line you're likely better off taking the bus (Chapel Hill Transit doesn't charge fares).
@Courtney Mumma worst case there are a number of paid decks/lots downtown (about a mile away) with a maximum daily fee, but historically Chapel Hill has intentionally not dealt with traffic / parking problems to encourage public transit.

@Vaida Plankytė 20 years ago the town sat down with a calculator and estimated the cost of building parking garages and widening roads against the cost of running buses. We have a good local bus system though the situation isn't perfect for commuters who can't afford Chapel Hill proper. Anyone attending the conference should be able to get most places, within reason, by bus or a short Über ride.

on Friday afternoon there were 26 submissions. on Monday morning there were 56. the committee is trying to fit (most) everything into the schedule.

I'd be happy to move one or even both of them to a panel discussion if there are enough other talks that would make up a nice panel. Not sure how good that would actually work for my topics (software publications and migration/update/K8s). Maybe not controversial enough :sweat_smile:

Another note to the community: the conference space proper can hold 500; the reception space can only hold I believe 150, so once the conference site goes live, receptionistas should register promptly.

@Deirdre Kirmis I just tried to modify my own schedule, and it told me To request a modification, please reach out to the planner. — we're really asking for these selections for a general headcount in case we need to swap rooms to better align attendance with capacity. The conference dinner and reception spaces have a more restricted capacity; otherwise I told Heath to expect folks to wander around between sessions as their interest changes.
I didn't select anything except my own tracks with my contributions. I don't have any idea yet which other sessions I want to attend...

@Deirdre Kirmis We have one huge room that can (mostly) split in half, and three smaller rooms that aren't huge. Particularly the workshops / working groups on Tuesday are in RDMC's building rather than the conference site; those rooms are much smaller. It's all about headcount.

I've temporarily opened up conference registrations to allow people who registered during the period when the social dinner/reception weren't showing up to go in and add those things to their registration.
I've also added a link to download invoices and/or receipts to the "registration confirmation/ modification confirmation" emails. That should allow everyone who adds the social events to download their invoices, and should also allow those of you who needed receipts to file for reimbursement to download those. I've re-sent those confirmation emails to everyone who's already registered so you'll have that link.

@Rachel Fernandez The AC hotel manager ( Monnoca.Badonnih@marriott.com ) says no on extending, but there is a "UNC Visitor" rate:
"We are not able to extend the same discount to Friday night, our rates on Friday and Saturday nights are typically higher than weekdays and any discounts would be allocated appropriately at the time of booking. As an alternative option, we can extend a UNC visitor discount on that day to any existing reservations, they can email me directly with their confirmation number and I can manually add the one night - the current UNC visitor is $237 per night on Fri and Sat, discounted from $279 - please note our rates can change as often as weekly depending on availability so these rates are not guaranteed."

You can register for virtual attendance, yes--there's a registration path for that and for in-person attendees.
Hotel courtesy blocks are posted above in this thread. The A/C Hotel in particular increased the block size, so more should be available, but many of the rooms held for blocks will be released on or around May 10th/11th. Make your reservations now!

All the rooms are ready for virtual presentations. We will be able to tell whether you registered for virtual attendance or in-person attendance for the conference, but also, as Mandy mentioned in an email to all accepted presenters, everyone needs to submit their slides to us by a certain date before the conference—people who will be presenting virtually can also remind us of that then.
Fingers crossed that exporting from Google Slides to Powerpoint works well. :smile:

I didn't know we limited to PPTX. I agree that PDFs are much less error-prone.

All the rooms should be tech-enabled and on wifi, so I don't see why this would be any more complex than projecting slides! I'll run it by the tech team to be sure, but it sounds like it's totally do-able to me.

It looks like the room is "Carolina Club: Alumni Hall TP1:1". Should I expect this to work, especially the audio, or should I plan to talk over them? Should the video files be on my laptop or would it be better to give them to you in advance? (I believe you there will be Windows computers connected to the audio/video equipment.) Thanks!

Can you embed the videos in the slides that you send in advance? I think it's possible to do that, and that would be safer (tech-wise) than switching computers, I think.
Alumni Hall has weird audio. There are mics and things that project to the room audience, but there's no tech to connect that to what streaming people are hearing, so we are planning to have our own room mics. The people watching virtually might or might not have trouble hearing the audio for the videos, but I'd hope that anything people in the room can hear, they'll be able to hear (maybe not as well, but to some degree).
Hmm. I'm using Google Slides. When I embed a video and download as PDF, it shows a red "x" where the video should be. (And the total size of the PDF is small, so I'm sure the video isn't in there.)
Same with Powerpoint.
With both PDF and Powerpoint, if you click, you are sent to the video in your browser at least. Maybe this will work?

Hmmm, I don't know. I'm positive the videos won't work in PDF (that's static images), but I thought you could natively embed them in Powerpoint--I used to do it when I taught.
Well, we'll figure it out when you get here, I guess, if you don't want to use PPT or Slides or some other presenting program! Now you know as much about the room tech and audio as I do, honestly

We are requesting that the slides be turned in early so that we can pre-load them onto the room computers to reduce tech problems on the days of the conference. I think this will defeat the purpose. Can you send the link to the Prezi and use the room laptop to present? (It's online, like Google Slides, rather than a program that lives on your computer, correct?)

Hi Vaida! Your session is 45 minutes and there are two presentations during that session, so you and Rory will have about 20 minutes total, I think.
If anyone else is curious about session times, the agenda on the Cvent site is kept up to date, and you can figure out how much time you have by dividing the time slot by the number of presenters!
ANNOUNCEMENT: we did tech tests today in Alumni Hall (if you want to know what room your presentation is in, see the agenda on the conference website).
What we discovered about multimedia in slides wrt remote attendees:
In other words, audio can only be from one input at a time.
So if you want to talk over your website demonstration that has sound, or comment on videos you are playing, the remote people will only be able to hear one or the other audio tracks, not both.
The videos I want to play have audio already so it sounds like I'm all set. Thanks, @Heath Sledge!

Posters are all printed now. You can also order them to be printed here if you don't want to travel with them--the best printing option is PhdPosters.com (https://www.phdposters.com/). Select "Local Pickup," then select "UNC Health Sciences Library." They print overnight and are available the next day. You can pick it up the day of the conference; it's within walking distance of where the meeting will be held.
(Nobody liked the digital projected posters idea!)

I tried to email everybody theirs at once but, as I mentioned, Cvent sucks--can somebody let me know if the email (with the subject line "Registration confirmed"--i couldn't change it!!) came through and if it contains your invoices/receipts?
Oliver, I sent you your own individual one, so you should get both. I'm interested in whether the form one is correct enough for people to get access to their information!

Oh good! Can you all spread the word to everyone that that email is not just another rehash of the same stuff and that it gives access to the invoices? I'm afraid they'll think it's a repeat since i couldn't change the subject line!

Both will eventually be posted on the website Harvard made before the conference as a placeholder--i shared the slides with them last week, and Dwayne mentioned the photos will be there as well! Check in with them on progress! :)
